Yes. Our team is well-versed in the intricacies of current tax laws and regulations, including the specific requirements for Colorado. We utilize a sophisticated payroll system that automatically updates whenever tax laws change. Each payroll is thoroughly checked to ensure we are properly withholding taxes from employees' wages and filing employer tax returns and payments.

Tax Compliance and Reporting

Do you manage payroll tax filings and remittance?

We handle all payroll tax filings and payments, ensuring we withhold, file, and remit federal, state, and local payroll taxes to the appropriate agencies on time. This includes quarterly payroll tax payments for unemployment, Medicare, and Social Security, and ensures you are not charged penalties or late fees.

How do you calculate the appropriate amounts for withholding federal, state, and other applicable taxes from your employees' paychecks and remittance of these monies?

We use accurate, up-to-date payroll software to ensure you withhold the proper amounts of employee taxes, including FUTA, FICA, and any applicable state withholdings. We use reliable software to calculate employee wages and withhold payroll taxes, and an experienced bookkeeper oversees the entire process to ensure accuracy and timeliness. We regularly match payroll data with your general ledger in order to spot and fix problems in payroll before you have to file taxes.

Can you handle W-2s, 1099s, and other end-of-year tax forms?

We handle the full preparation and delivery of W-2s for your permanent employees and 1099-NEC forms for your independent contractors, and make sure they're produced and delivered to your employees and filed with the IRS and Social Security Administration on time and before the deadline in January.

Employee Benefits and Deductions

Do you handle employee benefits, such as health insurance and retirement contributions?

We manage the employee benefits portion of payroll by calculating and withholding the proper pre-tax and after-tax deductions on a per-paycheck basis. Although we are not responsible for health insurance brokers or 401(k) administration, we'll ensure your health insurance, 401(k) plan, and other benefits are factored into employee payroll calculations, including employer contributions and matching.

How will you process any deductions related to employee benefits, garnishments, and other withholdings?

We'll deduct and remit any court-ordered garnishments, voluntary deductions, and benefit withholdings to the appropriate third-party agencies or benefit companies in accordance with applicable law and the employee's instructions. We'll set up the payroll deduction system to automatically and accurately deduct the right amount from each paycheck.

Do you track time off for employees?

We set up employee PTO, vacation time, and sick leave in our payroll system for you and can automatically calculate accruals based on your policy, so employees know how much time they have available, and you can easily process PTO requests without affecting the calculations.

We Provide The Best in Bookkeeping and Advising Services

Technology and Integration

Do you use payroll software? What software?

Yes, we use top payroll software that we know is accurate and reliable. While we typically use Gusto, QuickBooks, or ADP Payroll for their compliance capabilities, we use whatever best fits your business needs.

Can your payroll service be integrated with my accounting software?

Yes, we make sure your payroll and accounting software communicate seamlessly, so you have an accurate view of wages and benefits. When payroll is recorded in your accounting software, the accounts on your payroll are mapped to the accounts in your chart of accounts, and payroll transactions post to your books to keep them current without requiring many manual journal entries.

Is there an employee self-service portal for pay stubs and tax forms?

Employees can safely, self-service, log in to access their pay stubs, year-end tax forms, and direct deposit information when using QuickBooks, Gusto, ADP, and many others.

Cost and Pricing

How much do your payroll services cost?

In Colorado Springs, a small to medium-sized business can expect to pay between $100 and $1,000 a month, depending on the number of employees you have. At Quiver Bookkeeping & Advising, we charge a competitive fixed rate in addition to our bookkeeping and advising fees.

Are there any hidden fees or additional charges?

Yes, we are transparent, and we clearly lay out all our pricing and exactly what is covered in our contract. You will not encounter surprise charges for standard tax filings, regular payroll runs, or routine reporting.

Support and Communication

We offer direct expert assistance for any tax notices, payroll errors, or software issues. Our bookkeeping team handles this directly; you won't be placed on hold or speaking with a random stranger.

We prioritize payroll-related inquiries due to their time-sensitive nature and typically respond to urgent issues within the same business day. We also monitor payroll errors in real time to ensure your payroll funding is in place.

Onboarding and Transition

We take care of everything to get you set up on payroll, including:

  • collecting all of your historical payroll data
  • entering employee information
  • tax setup

We set everything up for a complete payroll transition.

We'll pull in all of the payroll data you need and make sure your current provider's data is ready to go. We also work with you to schedule your payroll transition, generally at the end of every quarter, to prevent duplicate tax filings or payroll checks.

It usually takes about two to four weeks to get everything up and running. This will depend on how much data we need to transfer.

Legal and Compliance Updates

Yes, we stay on top of legal changes through mandatory continuing education and by staying connected with other bookkeepers and tax professionals to keep up with the most current legislation affecting payroll. We stay up to date on changes in the payroll and tax world, whether it's a new federal tax bracket or a change in Colorado state labor law.

When minimum wages change, we update your payroll processing accordingly. Additionally, we let you know in advance so you can adjust your business rules and policies before laws take effect, whether that's overtime regulations or mandatory sick leave.
